01 The premise

The asymmetry worth understanding.

Satisfied customers rarely write reviews unprompted. Dissatisfied ones frequently do. A business that never asks therefore accumulates a review profile skewed towards its worst experiences, which is a distorted picture of a company that is probably doing fine.

Correcting that is not manipulation — it is asking. A simple, consistent request to every customer at the right moment produces a review profile that reflects reality rather than one shaped by who was angry enough to type. The businesses with excellent ratings are usually not better than their competitors; they are simply the ones who asked.

The second asymmetry is timing. Building a strong profile costs very little and takes months. Repairing a damaged one costs a great deal and takes longer. Almost everyone I speak to about reputation is calling at the expensive end of that trade, and the conversation would have cost them nothing a year earlier.

02 Reviews

Asking for reviews, without breaking the rules.

The line between encouragement and manipulation is specific and worth knowing exactly.

How to ask

  • Ask everyone, not the happy ones. Selecting who to ask based on expected sentiment is review gating, and it breaches most platforms’ policies including Google’s.
  • Ask at the right moment. Right after a good outcome, while it is fresh. A month later the goodwill has faded and the response rate collapses.
  • Make it one tap. A direct link sent by WhatsApp or SMS. Every extra step loses a large share of people.
  • Never incentivise. Offering a discount for a review breaches platform rules and taints every review you have.
  • Make it routine. Part of how a job closes, every time. Occasional pushes produce a spiky profile that looks manufactured.
  • Accept the bad ones. A perfect five-star profile with no criticism reads as fake. A few honest three-star reviews with good replies build more trust than uniform praise.

What monitoring actually covers.

Most of it is free. The value is in it being routine rather than in it being sophisticated.

Your business name
Search alerts on your brand name and its common misspellings. The basic and most useful one.
Review platforms
Google, Facebook, Justdial, Practo, sector-specific sites. Notifications on, so nothing sits unanswered for a fortnight.
Social mentions
Tags and untagged mentions. The untagged ones are usually the more revealing.
Key people
Founders and directors, if they are publicly associated with the business.
Competitor complaints
Not to exploit, but because a complaint pattern in your category is frequently a warning about you too.

05 Straight talk

Crisis: before and during.

The preparation column costs almost nothing. The response column is where prepared businesses visibly differ.

Prepare in advance

  • Decide who speaks. One person, agreed now. Confusion about who responds is what turns an incident into a story.
  • Agree the escalation. What counts as serious, and who is told. Written down, not assumed.
  • Have the channels ready. Verified profiles you can post from immediately, not accounts nobody has the password to.
  • Know the facts first. A holding response while you check beats a fast response that turns out to be wrong.

During, do this

  • Respond quickly, but not instantly. Acknowledge fast, answer fully once you actually know.
  • Say what you know. Including that you are still finding out. Silence is read as concealment.
  • One channel, then link. Full response in one place, referenced everywhere else, so the story does not fragment.
  • Do not delete criticism. Deleting is what escalates incidents. Screenshots outlive the post.
