01 The premise

Components, not documents.

The reason itineraries get rebuilt is that they are stored as documents. A Kashmir six-night trip lives in a Word file, and the next similar enquiry starts by finding that file, copying it, and editing it — including the parts that should have been updated three months ago when a hotel rate changed.

Stored as components, the same trip is a sequence: two nights at a hotel category in Srinagar, a day excursion, a transfer, three nights in Gulmarg. Each component carries its own current supplier rate by season. Assembling a variation is selecting different components rather than editing prose, and the price is calculated rather than remembered.

The second thing this makes possible is margin visibility. When costs sit in components with current rates, the system can show what a package actually earns at a given selling price. A surprising number of operators discover that a package they sell frequently earns considerably less than one they sell rarely, which changes what they promote.

  • Components with rates. Hotel nights, transfers, excursions, guides, permits — each with its own supplier and cost.
  • Seasons. Rates that change by date range. A costing model without seasons is wrong for most of the year.
  • Categories. Standard, deluxe and premium variants of the same itinerary, priced from the same components.
  • Group size bands. Per-person cost changes with group size because transport and guides are shared. This must be calculated, not estimated.
  • Inclusions and exclusions. Carried into the quotation automatically, because disputes at the destination usually start here.
  • Margin rules. Markup by package, by season or by agent, applied consistently rather than decided per quotation.
  • Version history. What a package cost last season, so year-on-year comparison and repeat pricing are possible.
