A travel enquiry is not exclusive. The same family messaged three competitors in the same ten minutes, and the operator who responds first with something usable is usually the one who books it.
Short answer
A travel CRM manages enquiries through a short and competitive booking window. What distinguishes it from a general CRM is speed: instant acknowledgement, quotation tracking with revisions, follow-up timed to a family decision, and a repeat-booking system for customers who travel annually.
Four details. A real reply the same day, from me.
01 The premise
A standard CRM models a pipeline where a lead is qualified, quoted once, and either closes or does not. Travel does not work like that. A single enquiry produces three or four revised quotations as dates shift, the group grows, a hotel category changes and the budget moves. A CRM that stores one quotation per deal loses the history of that negotiation, which is the part that matters.
The second mismatch is the channel. Travel enquiries and negotiations happen on WhatsApp, in a conversation that runs over days. A CRM that cannot see those messages holds a record that is systematically incomplete — and when a consultant is away, nobody else can pick up the client because the context lives on a phone.
The third is the seasonal repeat. A family that travelled to Himachal in May is a warm prospect for the same month next year, and almost no operator contacts them. That is the cheapest booking available in this business and it requires the system to remember who travelled where and when, which general CRMs are not built to do.
02 Requirements
The features that separate it from a general product.
03 The window
What the system should do automatically while a consultant is still reading the enquiry.
An automatic WhatsApp confirming receipt and asking two qualifying questions. Costs nothing and holds the client.
On their phone, immediately, with the enquiry details. Not an email checked at the end of the day.
A reminder if no quotation has gone out within your target window. The target should be hours.
Scheduled follow-up across the days a family takes to decide, without a consultant having to remember.
Booked, lost or gone quiet — recorded with a reason, so conversion by source and by consultant means something.
Free CRM review
Check the timestamps on your last ten. In travel that gap explains more about your conversion than your pricing does, and automating the first response fixes most of it.

04 Metrics
If a travel business tracks one metric, this is the one.
— Travel Software
These sit next to a travel CRM and are usually bought with it. Same person doing the work in each case.

Because travel quotations are revised several times per enquiry, the negotiation happens on WhatsApp, and the repeat cycle is seasonal. General CRMs store one quotation per deal, cannot see WhatsApp, and have no concept of contacting last year’s travellers before this year’s window.
Through the official WhatsApp Business API, so conversations attach to the enquiry record and the whole team can see them. Message templates need Meta approval before they can be sent, which is a genuine factor in the timeline. Unofficial methods get numbers banned and I will not use them.
It can generate them from an itinerary and costing and send them with one action, which is the part that matters. Fully automatic pricing is possible for standardised packages, but most operators want a consultant to check before it goes out — and they are right to.
By recording who travelled where and when, then contacting them before the same window next year. It is the cheapest booking available in travel and almost nobody does it systematically, because general systems do not prompt it.
Their enquiries, quotations and WhatsApp conversations stay in the system rather than on their phone. That continuity is one of the strongest arguments for a travel CRM, and the problem is invisible right up until the day somebody resigns.
Yes, provided enquiries arrive automatically with their source recorded. That reporting is what tells you which advertising to keep, and it is impossible when enquiries are typed in manually without a source.
