01 The premise
Watch an agency consultant handle one enquiry and the pattern is unmistakable. The enquiry arrives on WhatsApp. Details are copied into a spreadsheet. An itinerary is assembled in Word from a previous similar trip. Costs are looked up from a supplier rate sheet, sometimes an outdated one. A quotation is built manually, converted to PDF, and sent back on WhatsApp. If the client asks for one change, most of that happens again.
None of those steps is difficult and all of them are retyping. For an agency handling a handful of enquiries a week it is tolerable. At thirty a week it is a full-time job that produces no value, and it is competing for time with the thing that actually wins bookings — replying fast.

Excel is genuinely good at costing and genuinely bad at being the operational record for a team. The problems are version confusion, no history of who changed what, no follow-up reminders, and rebuilding the same itinerary repeatedly. Software should keep the costing flexibility while fixing those.
Through the official WhatsApp Business API, yes. For an Indian travel business this matters more than almost any other feature, because that is where enquiries arrive and where the negotiation happens. Message templates need Meta approval, which is a real timeline factor.

There are products in this space and some are good. They are worth evaluating first, and I will say so. Building becomes reasonable when your itineraries and costing model do not fit what those products assume, or when licensing across a team has overtaken build cost.
