Reply within the hour
Ideally minutes. An event client comparing three suppliers gives the first responder a substantial advantage.

Event clients have a fixed date and diminishing time. That single fact makes them the most decisive buyers in any sector I work in — and the least patient with a slow response.
Short answer
Digital marketing for event management companies and venues works around an immovable deadline. Clients enquire with a fixed date, compare a small number of suppliers quickly, and decide under time pressure. Response speed and visual proof of similar events matter more than almost anything else.
Four details. A real reply the same day, from me.
01 The premise
Event clients behave unlike almost any other customer. They have a date that cannot move, a budget usually decided by somebody else, and a shrinking window. That makes them decisive — they will commit quickly once convinced — and completely intolerant of a supplier who takes two days to reply.
It also makes them visual. Nobody books a wedding planner or a venue from a description. They look at photographs of events that resemble the one in their head, and they are looking for a specific match: this scale, this style, this kind of venue. A portfolio organised by event type rather than chronologically answers that; most are organised chronologically.
The third feature is that referral dominates this sector more than any other on this page. Marketing’s realistic job is to be findable and credible when a referred client searches your name, and to catch the clients who have no referral. Positioning it as a replacement for word of mouth misunderstands the business.
02 Requirements
Structured around a client with a date and limited time.
03 Enquiry handling
The window is short and the client is comparing.
Ideally minutes. An event client comparing three suppliers gives the first responder a substantial advantage.
Date, guest count, venue status, approximate budget. Four questions, asked in chat rather than in a long form.
Photographs of a comparable event, not your whole portfolio. Specific matching is what persuades.
A range with what changes it. Vagueness at this stage loses to a competitor who quoted.
Their deadline is your deadline. Two touches within the decision window, then stop.

Within the hour, and ideally within minutes. Event clients have a fixed date and are usually contacting several suppliers in one sitting. The first supplier to reply with relevant photographs and a real number has a substantial advantage.
An indicative range or a per-head starting point, yes. Event clients compare quickly under time pressure and skip suppliers who publish nothing. A range with the variables named filters out enquiries that were never going to fit your scale.
By event type and scale rather than chronologically. A client planning a 200-guest wedding wants to see a 200-guest wedding, not your most recent job. Most event portfolios are ordered by date, which is the least useful arrangement for a buyer.
Google search for people actively looking, Instagram for visual proof and discovery, and referral — which remains the largest source. Marketing supports referral by being findable and credible when a referred client searches your name.
During the planning window, not during the event season. Wedding enquiries arrive months before the dates, and corporate events are planned around financial year timing. Advertising while you are busy delivering is advertising a season too late.
Yes. Instagram shows individual images well and complete events badly, cannot be searched by location and event type, and is not yours. A site holds structured portfolios by type, ranks in search, and survives a platform change.
