Four operators got that enquiry. You have hours.

A travel enquiry is never exclusive. The same family messaged three competitors in the same ten minutes, and the first usable itinerary usually wins.

Short answer

Travel enquiries are typically sent to several operators simultaneously within a short booking window. The operator who responds first with a personalised itinerary and a real price is usually in a conversation while the others are arguing against something already read — which makes response systems more commercially important than ad creative.

01 The premise

Why speed beats price here.

A family planning a Kashmir trip fills in four enquiry forms in one evening. The operator who replies within ten minutes with a real itinerary and a real price is in a conversation. The three who reply the next morning are competing against something the customer has already read, considered and started imagining.

Price still matters, but it matters second. By the time a competing quote arrives, the first operator has established a relationship, answered two follow-up questions and adjusted the itinerary once. Beating that on price alone requires a meaningful discount, which comes out of a margin that was thin already.

This is why I look at an agency’s response system before its advertising. Doubling ad spend to generate more enquiries that are answered the next morning is spending money to lose more bookings faster.

02 The system

What lets a small agency reply in minutes.

None of this requires more staff.

01

Automatic acknowledgement

A WhatsApp reply within seconds confirming receipt and asking two qualifying questions. Buys time and holds the client.

Current rate cards

Supplier rates by season in one place, so pricing is calculated rather than looked up across files.

Evening cover

Travel gets planned after work. Enquiries arriving at 9pm and answered at 11am tomorrow are mostly lost.

One place for the conversation

So a colleague can pick up a client when somebody is unavailable, rather than the context living on a phone.

Two mechanisms. Most GEO advice ignores both.

Almost every argument about generative engine optimisation comes from conflating two completely different things: what a model learned when it was built, and what it fetches when it answers.
