Four constraints that shape the whole project.

WhatsApp automation is the highest-value channel available to most Indian businesses, and four platform rules decide what is actually possible on it.

Short answer

The official WhatsApp Business API requires business verification, uses Meta-approved templates for business-initiated messages, allows free-form replies only within a window after a customer messages you, and is charged per conversation rather than per message. Unofficial automation tools breach WhatsApp’s terms and result in banned numbers.

02 Use cases

What is genuinely worth automating.

Use cases

  • Instant enquiry acknowledgement. Within seconds, confirming receipt and asking one qualifying question. The highest-value automation available.
  • Lead capture into a CRM. So enquiries become records rather than living on one person’s phone.
  • Order and status updates. Read almost immediately, unlike email.
  • Appointment reminders. Measurably reduces no-shows for clinics, salons and services.
  • Payment reminders. Polite, scheduled, and considerably more effective than email.
  • Follow-up sequences. Two or three scheduled touches when an enquiry goes quiet.

03 Official only

Why not the unofficial tools.

There are cheaper tools that automate the consumer WhatsApp app rather than using the official API. They are faster to set up, they cost less, and they are against WhatsApp’s terms of service.

The consequence is banned numbers — not always immediately, which is exactly what makes them tempting. A business runs one successfully for months and then loses the number that every customer, supplier and past client has saved. Recovering from that costs considerably more than the API would have.

For a business whose customers reach it primarily on WhatsApp, the number is close to being the business. It is not a sensible thing to put at risk to save a monthly fee.
